Terms & conditions
Booking & confirmation
A booking is confirmed once we have your written request (email or WhatsApp) and the agreed deposit has been received. We will send a written confirmation listing the services, dates and total price.
Payment
A deposit of 30% is required to secure dates, with the balance payable before or on arrival unless otherwise agreed in writing. Prices are quoted in USD and may change if third-party costs such as park fees, flights or government taxes change.
Cancellation & changes
Cancellations more than 30 days before travel: deposit refundable less any non-recoverable supplier costs. 30–14 days: 50% of the total. Under 14 days or no-show: 100%. Date changes are accommodated free of charge where suppliers allow it.
Travel insurance
Comprehensive travel insurance covering medical treatment, evacuation, cancellation and personal belongings is strongly recommended for every traveller and is required for flying-doctor evacuation cover on safari.
Health & safety
Guests must follow guide, skipper and instructor instructions at all times. Activities such as diving, fishing, horse riding and game viewing carry inherent risks. Please disclose medical conditions, pregnancy, or non-swimmer status before booking water activities.
Weather & itinerary changes
Ocean activities and light-aircraft flights depend on conditions. Where weather or safety forces a change, we will reschedule where possible or refund the affected element. We are not liable for costs arising from delays outside our control.
Liability
We act with reasonable care in selecting suppliers. Our liability is limited to the value of the services booked with us. We are not liable for loss, injury or damage caused by circumstances beyond our reasonable control.
Complaints
Please raise any issue with your guide or planner immediately so we can resolve it on the spot. Unresolved matters can be sent to booking@earthspecialistholding.com within 28 days of your return.
